Diary management

All plans

A list of all the company's construction diaries: main and subcontractor diaries, creating them, editing, the signing method, deleting and the trash.

Available for:AdministratorUser

You will find the list of diaries in the menu under Lists → Diary management. You cannot write in the diaries here; use Diary records for that.

Main and subcontractor diary

  • The main diary is created automatically when a project is created and has the same name as the project. Each project has only one. An attempt to create a second one ends with a message that the project already has a diary.
  • A subcontractor diary is kept by a subcontractor. It is created by adding a participant with the Subcontractor role in Access and is named "project – subcontractor's company" (if no company is filled in, the subcontractor's name). The Subdodavatelský deník (Subcontractor diary) switch in the form is for information only; a diary cannot be switched to a subcontractor diary.

The Add diary button creates a diary for a project that does not have one (e.g. after it was deleted). You select the Project (projects in the Preparation or Execution phase are offered), and the Název (Name) is prefilled in the form "Stavební deník year – project".

Diary plan limit

On the Diary plan, a company can have at most 3 construction diaries; both main and subcontractor diaries count. When the limit is reached, the app offers to activate Diary+, which removes the limits.

List of diaries

The table has the columns Date (of creation), Name, User (who created the diary) and Project. Labels next to the name:

  • SUB - subcontractor diary,
  • 2×✍ - two-sided signing (subcontractor and contractor),
  • ✍ ZH - entries are signed only by the main contractor.

You can filter by Projects and by creation period. The administrator also has a Koš (Trash) switch.

Editing a diary

Clicking a row opens Edit diary header (only if you are allowed to manage diaries, see below). You can change the project and the name, and for a subcontractor diary also the Record signing:

OptionWho signs
Subcontractor onlyEntries are signed only by the subcontractor.
Main contractor onlyEntries are signed by your employee (the site manager).
Both (2-phase signing)The subcontractor signs, the main contractor confirms. Available only after a subcontractor has been assigned in Access.

Daily entries in a subcontractor diary are written by the subcontractor. For the main contractor, the diary is read-only in Diary records (except for other records); the main contractor signs entries in the Daily entries table according to the selected option.

Who can manage diaries

On the Diary and Diary+ plans, only the administrator creates, edits and deletes diaries.

On the Company and All for business plans, it is decided by the Role for the Diary records module (edit or edit own level). The administrator and the site manager are always allowed.

A subcontractor who signs a subcontractor diary manages their diary even without a company Role. External participants (investor, TPI…) do not manage diaries.

Deleting and the trash

Deleting a diary also deletes its daily entries. Deleting a subcontractor diary also cancels the access that was granted to the subcontractor.

The administrator sees deleted diaries after switching on the Koš switch. The Vrátit zpět (Restore) button restores the diary together with its daily entries, in the state they were in before the deletion (signed entries stay signed).

What is not restored

Cancelled access of participants must be granted again in Access. Daily entries that had been deleted earlier, before the diary itself was deleted, stay in the daily entries trash; diaries deleted before 28 September 2026 are restored with all entries in the K podpisu (To be signed) status.
