The home screen after you log in: what is waiting for your approval, buttons for the most common actions and an overview of the day.

Available for:AdministratorUser

The Dashboard is the first item in the menu and opens after you log in. Everyone sees only what concerns them: entries and documents waiting for their signature or approval, their tasks, the equipment they have with them, and buttons for the actions they are allowed to perform. What exactly is shown depends on the company's tariff, the user's Rights and Role, and what the company has turned on in Nastavení firmy (Company settings).

Dashboard on the Diary and Diary+ tariffs

  • Getting started - a new company sees the "Welcome, …!" card with three steps: Create a project, Add a construction diary and Write your first daily record. Each step has a button that takes you to the right place, and the next step unlocks only after the previous one is done. The card is shown to the company administrator (on these tariffs only the administrator creates projects). It disappears once all three steps are done, or when you close it with the cross (the browser remembers that you closed it).
  • Quick access - the Projects, Diary records, Daily entries and Diary preview tiles, each with a short description of what you will find in that part.
  • For approval - daily entries and other diary records waiting for your signature (described below).

Details about the diary are in Construction diary.

  • Record receipt - uploading a receipt or invoice (described below). Visible to those with access to the Wages module.

  • Sick leave - when the company has sick leave turned on and does not use attendance (with attendance, sickness is entered in attendance).

Attendance is described in detail on the Attendance page, vacation and sick leave on the Vacation and sick leave page, trips on the Trips page and delivery notes on the Delivery notes page.

Tab order

In Nastavení firmy → Nástěnka → Pořadí hlavních tabů na nástěnce (Company settings → Dashboard → Order of main tabs on the dashboard), the administrator can set the order in which the Requests, Work reports, Material and Documents tabs are shown. The first available tab is selected automatically when the dashboard opens. The Documents tab currently only takes effect in the mobile app.

Record receipt

A quick way to get a receipt or invoice into the system. AI reads the data from the document.

  1. On the Requests tab, click Record receipt.
  2. Select the Project the document belongs to.
  3. Select the Payment type. Nothing is pre-filled, you need to choose the type deliberately:
    • Personal (reimbursement request) - you paid with your own money and want it back,
    • Company card - the company paid by card,
    • Company cash register - the company paid in cash from the cash register.
  4. Drag and drop or select a photo or PDF of the document and click Save. Processing usually takes 10-30 seconds.

What is created:

  • Personal - a reimbursement request that waits for approval in Wages and on the dashboard in the Requests tab of the For approval section.
  • Company card - a company card expense. The system tries to find a bank payment with the same amount and a close date and pair it with the document.
  • Company cash register - a cash receipt. Nothing is reimbursed.

The company card expense and the cash receipt are created in the Ke kontrole (To review) status, and on the dashboard they go to the person assigned to check extracted invoices (otherwise to the administrator). In Purchase invoices, they are then visible only to the administrator and to those whose Role gives them access to the Purchase invoices module (see Who can see expenses). Without this access, you will not see the document anywhere after saving, even if you uploaded it yourself. The exception is a document that the approver returns to you for correction: you will find it in the For approval section on the Returned for correction tab.

The + button (quick actions)

In the bottom right corner there is a round + button. It offers in one place:

  • Requests - Request advance, Record receipt, Add photos to diary, Add diary record,
  • Work reports - New trip, New report,
  • Material - Add delivery note, Add waste disposal,
  • Trip management - Change project, End trip (during a trip).

Add diary record creates an other record without opening the diary: select the Construction diary and Record type, click Next, fill in the text and, if needed, a URL link, photos, attachments and Signers, and save the record. If you tick Send email notification to signers, they receive an email asking them to sign. More about records in Daily entries.

Attendance, trip and plan

  • Attendance - with time-based attendance tracking turned on, the dashboard has a block with the Work, Home office, Business trip, Lunch, Doctor and Departure buttons. Described on the Attendance page.
  • Active trip - during a trip, the dashboard shows Current vehicle in use and the trip details.
  • Current week - on a phone (in the browser and in the mobile app), the dashboard shows your plan for this week; the arrow switches to the next week. For a user who is not an administrator, clicking scheduled work on a project opens a new work report pre-filled with the project, category, time and the day from the plan (today if the event is running today, otherwise its first day), and clicking a scheduled trip opens a new trip with the vehicle. For the administrator, a click opens the detail of the plan event. See Plan.

For approval

Below the buttons is the For approval section. Its tabs show a red count of items, and only the tabs where something is waiting for you are displayed. When it opens, the first non-empty tab is selected.

TabWhat it contains
Work reports / Last 5 reportsWork reports waiting for your signature or approval. The administrator always has them here, others (project manager, foreman, personal approver) when a report is waiting for them. Anyone who has nothing to approve sees the last 5 reports that concern them (their own and those from projects they manage). The Approve button appears only for those who are allowed to approve the report. A paperclip icon next to the project means there are diary photos attached to the report.
Contracts to signnew employees for whom a contract has been created and is waiting for the employer's signature (Sign). Only the administrator sees this tab and signs the contracts.
Tripstrips waiting for your approval
Requestswage advance requests and receipt reimbursement requests. They are approved by the administrator and by anyone whose Role allows editing the Wages module; others see their own pending requests here. For receipts, the status of the AI recognition is shown; a receipt can be approved only after it finishes, and if it fails, the analysis can be run again.
Expensesreceived invoices and expenses in the status Ke kontrole (To review), Čeká na schválení (Waiting for approval) or Čeká na schválení adminem (Waiting for admin approval) where you are the approver
Returned for correctionyour received invoices and documents that the approver returned for correction, with the reason for returning. Open the document, correct it and save it; this sends it for approval again. You can open it even if you otherwise have no access to Purchase invoices.
Tasksthe Moje úkoly (My tasks) card (open tasks assigned to you) and the Po termínu (Overdue) card. Clicking the circle next to a task completes it or reopens it, the arrow leads to Tasks.
Purchase orders, Sales ordersorders waiting for your signature, see Orders
Delivery notesdelivery notes for approval, including the data recognized by AI
Attendance requestsrequests for time corrections, vacation and sick leave (Approve / Reject)
Daily entriesdaily diary entries for your signature; for a subcontractor's diary also the contractor's second signature
Equipment transfersequipment transfers you need to confirm as the recipient or storekeeper (Accept equipment / Decline handover); the administrator sees all pending transfers. See Equipment.
Other recordsother diary records waiting for your signature or approval (Sign, Return for completion with a reason)

When nothing is waiting for you (and a user who is not an administrator has no report in the overview of recent reports either), the section is not shown on the dashboard at all.

Other overviews on the dashboard

  • Poptávky z webu (Web inquiries) - above the For approval section, the administrator sees up to 5 new, read or in-progress inquiries from the company's web form. Clicking an inquiry opens its detail, the arrow opens the full overview. See Inquiries.
  • Následná péče (Aftercare) - the administrator sees upcoming aftercare tasks for projects (watering, mowing, inspection…) in the next 30 days. A date due today is marked red, a date within 7 days orange. The feature is turned on in Nastavení firmy → Deník a stavby → Notifikace následné péče o stavby (Company settings → Diary and projects → Project aftercare notifications); the dates are entered on the project.
  • Nářadí u vás (Equipment you have) - a list of the equipment registered to you: name, inventory number, which warehouse it comes from, how many days you have had it, and the quantity for quantity-tracked items. Detail opens Equipment filtered to your items. Returns are done in the equipment detail. If you have nothing, you do not see the widget.

External user's dashboard

External users (investor, owner's technical supervisor, construction supervision…) invited to the diary via Access have a simplified dashboard:

  • Čeká na můj podpis (Waiting for my signature) - other diary records they need to sign or approve.
  • Current week - the project's planning calendar, only if the company has turned on Show calendar for them in Access. The plan is read-only.

End of the trial

Paid tariffs (Diary+, Company, All for business) start with a 14-day trial.

  • During the trial, the dashboard shows how many days are left. The notice can be closed; it appears again the next day.
  • When the trial ends, the administrator sees the Vaše zkušební verze skončila (Your trial has ended) window with the choice of Pokračovat v předplatném (Continue subscription) (the tariff is activated and you receive the invoice the following day, or, if that would be the 29th to 31st day of the month, on the 1st day of the next month) or Přejít na verzi zdarma (Switch to the free version) (the company switches to the Diary tariff and the paid modules are turned off). The invoice is sent to the company's billing email, or to its contact email if the billing email is not filled in.
  • Until the company decides, only the Dashboard, Users and Nastavení firmy are accessible. The other menu items are hidden.

Setup guide

On a computer, a guide takes the administrator of a new company on the Company or All for business tariff through the basic setup. It starts on the dashboard with a welcome and links to the mobile app; after you click Začít úvodní nastavení (Start initial setup), it leads you step by step through creating a contact, a project, an employee, a machine and a work report. The Postup průvodce (Guide progress) indicator shows how many steps you have completed.

  • Přeskočit (Skip) moves the guide to the next step.
  • After closing the guide, you can continue with the Spustit průvodce (Start guide) button in the top bar. The cross next to this button turns the guide off completely.
  • On the last step, you finish it with the Dokončit (Finish) button.

Dashboard in the mobile app

In the mobile app, the dashboard is the home tab.

  • On the Company and All for business tariffs, it contains quick actions, attendance, action tabs (e.g. Requests, Diary, Material, Documents), the weekly plan with plan tasks to tick off, the For approval section with the same areas as on the web, and Nářadí u vás (Equipment you have). Refresh it by pulling down or with the icon next to the plan.
  • On the Diary and Diary+ tariffs and for external users, it shows the Pending Signatures records and the project plan (if available). The administrator on the Diary tariff also sees the getting-started steps here, and external users additionally have the Add Record quick action for the diary.
