Equipment tracking with QR codes, transfers between employees, and service records.

The Equipment module provides complete tracking of company tools and small assets. Each piece of equipment has a unique QR code for quick identification via the mobile app.

Equipment tracking

Each piece of equipment in the system has:

  • Name and internal number (externalId)
  • Category (hand tool, power tool, measuring, safety, transport, other)
  • Condition (new, good, worn, damaged, in repair, decommissioned)
  • Serial number and purchase price
  • Current holder (employee)
  • Invoice link (for cost tracking)

QR codes

Each piece of equipment is automatically assigned a unique QR code in the format eprotokol://equipment/{id}. The QR code can be:

  • Downloaded as PNG or SVG from the equipment detail
  • Printed and attached to the physical piece of equipment
  • Scanned with the mobile app to quickly view details and initiate a transfer

Equipment transfers

Equipment can be transferred between employees using a workflow:

  1. The initiator creates a transfer request (from web or mobile)
  2. The target employee receives a push notification and email
  3. The employee confirms or rejects the transfer
  4. Once confirmed, the equipment holder is automatically updated

Transferring to the warehouse (without a target user) means returning equipment to the company.

Service records

Service records can be tracked for each piece of equipment:

  • Repair – record of a completed repair
  • Maintenance – regular maintenance and inspection
  • Calibration – calibration of measuring instruments

Each record includes a description, cost, date performed, and responsible person.

Adding new equipment

  1. Go to Equipment
  2. Click + New equipment
  3. Fill in the name, category, and internal number
  4. Optionally add serial number, price, and assign a holder
  5. Save – the QR code is generated automatically

Mobile app

In the mobile app, you can:

  • Browse the equipment list (all or just yours)
  • Scan a QR code for instant detail view
  • Initiate an equipment transfer to another employee
  • Confirm or reject incoming transfers
Invoice integration

Invoice items can be marked as equipment using the "Equipment" toggle. This automatically links costs with the equipment registry.

QR codes for quick identification

Print QR codes and stick them on every piece of equipment. Employees can simply scan the code with their phone to see who holds the equipment and initiate a transfer.
