Contacts
A directory of customers, suppliers and partners with details filled in from ARES (the Czech business register).
Contacts are the company's directory of customers, investors, suppliers and other partners. You enter a contact once and then simply select it on a project (investor), in price quotes, orders, invoices, expenses and other documents. You will find the module in the menu under Lists → Contacts.
Who can manage contacts
- Diary and Diary+ plans - all users of the company can see contacts; only the administrator can create, edit and delete them.
- Company and All for business plans - it depends on the level for the Contacts module in the user's Role (see Roles and Permissions). With the editace vlastních (edit own) level, a user edits only the contacts they created themselves.
- External users (investor, technical supervisor…) do not create or edit contacts and cannot even see the company's contacts.
Contact list
The list shows the company or person name, address, city and country. There is a search box at the top. Click a contact to open its detail.
New contact
- Click Přidat kontakt (Add contact).
- In the Vyhledat v ARES (název nebo IČO) (Search ARES by name or IČO) field, type the company name or IČO (Czech company ID number) and select the company from the suggestions. The app fills in the name, IČO, DIČ (VAT number), VAT payer status, address and region, and for VAT payers also the bank accounts published in the register of the Czech Ministry of Finance.
- Check and complete the details: Název (Name), IČO, DIČ, DPH (VAT: payer or non-payer), Bankovní účty (Bank accounts), Adresa (Address), Město (City), PSČ (Postcode), Země (Country) and Kraj (Region).
- In the Kontaktní osoby (Contact persons) section, use the + Přidat kontakt (+ Add contact) button to add one or more people with their name, e-mail and phone.
- Click Založit (Create).
- Název and Země are required (the default country is Czechia, change it for a foreign contact). To create a private person without an IČO, fill in their name instead of a company name.
- If a contact with the same IČO is already in the directory, the app does not create a new one and selects the existing one.
- You can also create a contact directly from another form, for example when creating a project or an invoice. The new contact is transferred straight into the form.
Editing and deleting
A saved contact opens locked. To edit it, click the lock icon (Odemknout pole (Unlock fields)), change the details and save with the Upravit (Edit) button. To delete a contact, use the bin icon in the list.
Contacts in the mobile app
In the mobile app, you will find contacts under More → Documents & invoicing → Contacts. There you also see the contact's collaboration history (price quotes, orders and invoices, always only from the sections you have access to), for customers also an invoicing summary, and you can start a new quote, order or invoice straight from the contact. The mobile app also warns you about an unreliable VAT payer and can update the contact's details from ARES.
Your own company details (name, IČO, address, bank account) are taken from Company settings for your documents, so do not enter them in contacts.
