Human resources (HR)
Employees' work and personal data, hourly rates and electronic completion of the data by the employee.
HR adds to the user card the data the company needs for work reports, wages and vacation. You will find it in the Users module: open the employee's card and switch to the Personalistika (HR) tab. The company administrator works with it.
What the Personalistika tab contains
- Typ poměru (Employment type) - Zaměstnanec (Employee) or Subdodavatel (Subcontractor). Without an employment type, the employee cannot report work and is not offered among the workers in the construction diary.
- Typ smlouvy (Contract type) - HPP (full-time employment), DPČ or DPP (Czech agreements for work outside employment); not filled in for a subcontractor. The contract type determines the entitlement to vacation and sick days and the rates of wage surcharges.
- Typ mzdy (Wage type) and Mzdové období (Wage period); the period is offered only if the company has wages for a from-to period turned on.
- Pracovní zařazení (Job position) - Dělník (Labourer), Řidič (Driver) or Administrativní pracovník (Administrative worker).
- Personal data: nationality, birth number, date of birth, phone, health insurance company, marital status, ID card number, bank account, permanent address and place of birth.
- Employment: Začátek poměru (Start of employment), Konec poměru (End of employment) and Datum nástupu do práce (Date of starting work).
- Mzdy (Wages) - hourly gross and net wage valid from-to. When the wage changes, add a new rate with the Přidat (Add) button; the older rates stay in the history.
Fields with sensitive data (birth number, ID card number, bank account, employment dates and others) are protected against accidental overwriting. You can edit them only after clicking the pencil icon at the end of the field.
In eProtokol, wages are calculated from the employee's hourly rates and the hours worked. How rates, surcharges and deductions go into the wage is described in Wage rates.
Filling in the data electronically
The employee can fill in their personal data themselves, with no paperwork.
- When creating the user, turn on Žádat o data k personalistice? (Request HR data?) (see New user). Also fill in the hourly net and gross wage; without them the request cannot be sent.
- The employee receives an e-mail with a personal link. The link is valid for 14 days.
- On the New employee registration page, the employee fills in their personal data, sets a password and clicks Submit. The user's status changes to Kompletní (Complete) and the employee can log in.
If the company has Kontrolovat smlouvy (Check contracts; see below) turned on, one more step follows after the data is filled in: signing the employment contract. The employee signs it on screen and the administrator then signs it for the employer on the Dashboard. The contract corresponds to the Typ smlouvy (Contract type) from HR: an employment contract (HPP), an agreement on work activity (DPČ) or an agreement on the performance of work (DPP). Without Kontrolovat smlouvy turned on, no contract is signed in the app.
If the link expires or gets lost, create a new one on the user card on the Obecné (General) tab in the Odkazy (Links) part (Vytvořit odkaz, Create link). The new link invalidates the previous one.
In Company settings → Výkazy a docházka (Work reports and attendance), turn on Kontrolovat smlouvy (Check contracts). The employee can then report work only after completing their data and signing the employment contract (status Kompletní). Until then, the Nemůže vykazovat (Cannot report work) label is shown next to them in the user list.
What employees fill in themselves
In the Company and All for business plans, every user can add their phone, health insurance company, marital status, ID card number, bank account and permanent address, and upload a profile photo, in My profile (the menu under the circle with their initials). They can also see the documents the administrator has uploaded for them there. The data is reflected in their HR record.
Vacation and sick days
The annual entitlement to vacation and sick days is derived from the contract type, using the default values in Company settings → Dovolená a sick days (Vacation and sick days). Requests, approvals and balances are described in Vacation and sick leave.
Employee overview
You open the summary for one person (remaining vacation and sick days, requests, approved hours by month and wages) in the user list with the Přehled zaměstnance (Employee overview) action. It is turned on in Company settings, see Users.
HR contains employees' personal data. Only the company administrator can see the user card including HR, and wage amounts are shown only to those who have access to wages. Give administrator rights only to people who need access to this data.
