Road haulage: transport orders, dispatching trips by vehicle and driver, vehicle map, containers, price list and trip invoicing.

The Transport module is for companies that haul material, waste or containers with their own vehicles. In it, the dispatcher receives transport enquiries and orders, schedules trips for vehicles and drivers, and follows them on the map. The driver starts a trip, records stops and ends it in the mobile app. Invoices are issued from completed trips.

You'll find it in the menu under Attendance → Transport. The former separate Trips page is now a tab inside Transport, see Trips.

Who can do what

The module has no separate switch; it is controlled by the Role for the Jízdy (Trips) module:

Only the administrator may change the transport settings; other dispatchers see them read-only (except their own notifications). On the web, anyone with access to Transport can report a machine defect; in the mobile app at least edit own is needed.

Dispatcher role

The role settings have a Doklady jen z dopravy (Transport documents only) switch. A user with such a role sees only documents that belong to transport in price quotes, sales orders and invoices, and only their own in purchase orders and invoicing documents. It suits a dispatcher who should not see the rest of the company's agenda. See Roles and permissions.

Transport tabs

The tabs are on the left, divided into groups (on a phone, in a drop-down list):

Dispatch

The default tab. You switch between the Den (po hodinách) (Day, by hours) and Týden (Week) views.

• Den - rows are drivers (or vehicles), columns are the hours of the day, and a red line shows the current time. On the left is the K naplánování (To schedule) list with orders that still have unscheduled runs. Drag an order onto a row and hour, or click an empty cell to create a new trip (driver, vehicle, start, length of one trip, number of runs, break between runs, trailer, customer, and optionally project, material, stops and an instruction for the driver). Rows can be switched between Řidiči (Drivers) and Vozidla (Vehicles). Trips that did not start on time or are running late have a red frame based on the thresholds in the Transport settings (the same as for notifications); running trips show the estimated arrival.
• Týden - a grid of vehicles and days. After you drag an order onto a vehicle and day, the Naplánovat jízdu (Schedule trip) dialog opens.
• One vehicle cannot do two trips at once. In the new trip dialog in the day view, an occupied vehicle is greyed out in the selection, and if there is an overlap the app asks whether to schedule the trip anyway. In the Naplánovat jízdu dialog in the week view and in the Naplánovat jízdu part of the order detail, the app refuses the overlap. The app does not check for an overlap when you select the vehicle, driver and date directly in the order form, when you drag a scheduled trip to another time or vehicle, or when you change its vehicle or date in the order detail.
• A scheduled trip can be cancelled; the order then goes back among the unscheduled ones (unless it has another trip). The driver is notified about a new trip, a change of its time and a cancellation.
• A scheduled trip also appears in the plan calendar.

Above the grid is a panel of alerts from vehicle locations and plan monitoring, for example the vehicle is moving but the trip has not been started, the vehicle is standing while the trip is running, the trip did not start on time, a mandatory break is approaching, or the unit is not reporting its location. From it, the dispatcher can Upozornit řidiče (Notify driver), Zahájit jízdu (Start trip) on the driver's behalf (even with a past time), end the trip, or record waiting or a stop.

The Rozpis řidiče PDF (Driver schedule PDF) button creates a daily schedule of the driver's started trips with a vehicle operation record and driving time, stops and, for customer trips, a cargo document.

Transport orders

A list of orders with a status filter and search. Statuses: Nová (New), Naplánovaná (Scheduled), Probíhá (In progress), Hotová (Done), Fakturovaná (Invoiced), Zaplacená (Paid), Zrušená (Cancelled).

1. Click Nová objednávka přepravy (New transport order).
2. Choose the Typ (Type) (one-off, framework or own project) and select the customer from Contacts, and optionally a project. For the Vlastní stavba (Own project) type, the customer is optional: if you do not select one, the project's investor is filled in, and if the project has none, your company's contact. Orders of the other types cannot be saved without a customer.
3. Fill in the material, quantity, planned runs and the from-to date.
4. In the Zastávky a trasa (Stops and route) editor, enter loading and unloading (address search or click on the map). The app calculates the route length.
5. Add the price (it can be pre-filled from the price list), the price unit and the payment method (invoice, cash, QR payment), and optionally an instruction for the driver.
6. Optionally select the vehicle, driver and trailer right away. With the vehicle, driver and date filled in, this creates a scheduled trip.

• Přeprava kontejneru (Container transport) - such an order can only be scheduled on a vehicle with a container carrier.
• Přeprava odpadu (Waste transport) and Nebezpečný odpad (Hazardous waste) - the driver enters the waste code at the stop; for hazardous waste the dispatcher fills in the ADR details and the notification form number (SEPNO) in the order.
• An order can also be created from a transport price quote, from an enquiry, or from a driver's own trip for a customer.
• Cancelling an order also cancels its scheduled trips that have not started yet.

Trips

A list of trips, their status and approval. Only the administrator sees the trips of the whole company here; others (including the dispatcher) see the trips they created or scheduled themselves, the trips they approve, and trips from projects they lead. It is described on the Trips page.

Vehicle map

A map of the company's vehicles with their status (moving, standing, no signal), driver, trip destination, estimated arrival and delay. Clicking a vehicle zooms the map in and follows the vehicle; the trip route can also be shown.

Locations come from GPS units in the vehicles (the provider is set in the Transport Nastavení) or from the driver's phone during a started trip, if the company turns this on and the driver agrees.

Enquiries

Records of transport enquiries (phone, e-mail, web). Statuses Nová (New), Nabídnuto (Offered), Objednáno (Ordered), Zamítnuto (Rejected). The dispatcher turns an enquiry into a transport order with the Založit objednávku z poptávky (Create order from enquiry) icon.

Price quotes and Transport price list

• Cenové nabídky (Price quotes) - transport quotes (the regular Price quotes module limited to transport). The tab is visible to the administrator and to anyone whose Role gives them edit access to price quotes (even just to their own). When a quote is confirmed, a transport order can be created right away.
• Ceník dopravy (Transport price list) - general prices and prices for a specific customer or material. When an order is entered, the order price is used, otherwise the customer's individual price, otherwise the general one. Below the price list are the hourly and per-kilometre rates of vehicles and trailers.

Invoicing

For dispatchers only. For the selected month, it shows completed trips for external customers grouped by customer. The Vystavit fakturu (Issue invoice) button creates a regular sales invoice; the lines can be per trip or merged by the same price. Waiting longer than what is included in the trip price is charged at the vehicle's waiting rate. When all trips of an order are invoiced, the order moves to the Fakturovaná status (or Zaplacená, if it was already paid on site).

Payment on site (cash or QR code) is recorded by the driver in the mobile app; the dispatcher can also mark it on the web.

Containers

Records of containers with their status (V depu (At depot), U zákazníka (At customer), Na cestě (On the way), Servis (Service)), location and number of days at the customer. Movements (drop-off, pick-up, swap) are recorded by the driver in the mobile app at the stop; the dispatcher can manually record a drop-off at a customer and a return to the depot. Each container has a Historie pohybů (Movement history).

Vehicles

An overview of the company's vehicles and trailers with licence plate, payload, GPS unit, odometer reading and rates. Vehicles are recorded in Machines as machines of the vehicle type; transport adds details to them such as body type, payload, height, waiting rate, container carrier, which vehicle may tow the trailer, and the service interval in km.

Machine defects

Reports of vehicle and machine defects with the severity Drobnost (Minor), Jezdit lze s omezením (Usable with limits) and Nepojízdné (Out of service). Statuses Nová (New), V řešení (Being resolved), Opraveno (Fixed), Zrušeno (Cancelled). An out-of-service vehicle is marked in the day dispatch view when rows are by vehicle, and dispatchers receive a notification.

Reports

For dispatchers only. A monthly overview of trips, runs, tonnes, km, waiting and revenue by vehicle, driver, customer, material and day, a basis for waste records, vehicle operation from GPS, and a check of runs against records. The main overviews can be exported to CSV.

Transport settings

The Nastavení tab has seven sections:

Dispečink a jízdy (Dispatch and trips)	Hour range of the grid, default trip length, default time window, and after how many minutes to report a trip that has not started or is late.
Sledování vozidel (Vehicle tracking)	GPS provider and pairing of units with vehicles, Poloha z telefonu řidiče (Location from the driver's phone), and information for employees about tracking (Section 316 of the Czech Labour Code).
Vyhodnocení poloh (Location evaluation)	When the vehicle is at loading or unloading, when to report waiting, a unit outage and a container standing for a long time.
Odhad příjezdu (Arrival estimate)	The paid service Odhad příjezdu s aktuálním provozem (Arrival estimate with current traffic); the price depends on the chosen recalculation frequency and is shown in the settings.
Práce řidiče (Driver's work)	Výkaz práce z jízd (Work report from trips) (time rounding) and Bezpečnostní přestávky (Safety breaks) according to the chosen rules. Break monitoring does not replace a tachograph.
Doklady a fakturace (Documents and invoicing)	Default unit and payment method, waiting included in the trip price, tolerance for the difference in delivered quantity, note on the delivery note.
Notifikace (Notifications)	Your own transport notifications and an overview of what goes to whom.

Mobile app (driver)

1. When the driver has trips scheduled for today, Home shows a Ride card with a Start ride button; otherwise they start a trip on Home on the Transport tab. A trip can be started from the plan, or as an Own ride (vehicle, trailer, project or customer, odometer reading).
2. During the trip, the driver records stops: Loading, Unloading, Dump site, Waiting, Refuelling, for vehicles with a container carrier Drop off, Pick up, Swap, and for a low-loader Attach, Detach, Move. They add the quantity and photos to the stop, a weighbridge ticket for loading and dumping (the app can read it from a photo), the waste code for waste transport, and the recipient's signature and a delivery note for the customer at unloading.
3. Navigation to loading or unloading opens in Google Maps, Mapy.cz, Waze or (on iPhone) Apple Maps.
4. The trip card has Ride documents (vehicle documents and cargo), Report a defect and, for orders paid in cash or by QR code, Payment on site. When the company monitors safety breaks, the app reminds the driver of them.
5. The driver ends the trip with the Finish button and the odometer reading.

When the company has Výkaz práce z jízd turned on, after the last trip of the day the app offers Create a work report? with times based on the trips. The report is pre-filled and the driver just confirms or adjusts it; it then goes through the regular work report approval.

Location sharing from the phone runs only between the start and end of a trip, and only with the driver's consent. The trip history in the mobile app is in More → Tools & machines → Rides.
