Teams
Named crews of workers with a crew leader. You plan a team with a single click, and the crew leader can approve the work reports of their people.
A team is a named group of workers who go out together - a crew, a gang, an assembly group. You will find Teams in the menu under Planning → Teams. You don't need to turn the module on: as soon as the company creates its first team, the Přiřazený tým (Assigned team) field appears in the plan.
The page is visible to anyone who has access to the Teams module in their Role. Teams can be created, edited and deleted by anyone whose Role allows editing Teams, and by an administrator. With the editace vlastních (edit own) level, a user edits and deletes only a team they created themselves. The Přidat tým (Add team) button and saving changes in the team detail are shown only to someone who may edit the team; with the čtení (read) level, the detail is view-only.
Creating a team
- Click Přidat tým (Add team).
- Fill in the Název týmu (Team name).
- In the Členové týmu (Team members) field, select the workers. One person can be in only one team, so only active people without a team and members of this team are offered. External users cannot be members.
- Optionally select the Předák týmu (Crew leader) - it must be one of the members.
- For the crew leader, you can turn on Předák schvaluje výkazy členů (Crew leader approves members' work reports) and Předák vidí report členů týmu (Crew leader sees the team members' report) (see below).
- Click Založit (Create).
The list of teams shows the name, the crew leader (with the labels "schvaluje výkazy členů" (approves members' reports) and "vidí report členů" (sees members' report), if they are turned on) and the members.
Team in the plan
In the Calendar (and in the mobile app), you select the Přiřazený tým field in an event. When the event is saved, the team is expanded into its individual members - in the plan, on the dashboard, in Utilization and when importing into the construction diary, each member then behaves as an assigned person and receives a notification. The event detail keeps showing the team, not the expanded list of people.
- Several teams can be assigned to one event and combined with individual people. Anyone assigned manually is not added a second time through the team.
- If a member is busy at that time (another event, vacation), a warning with the names is shown, but the event can still be saved.
- For a trip, the limit of 2 people applies, including team members.
- A team cannot be assigned to a subcontractor event.
On the Planning board you drag a whole team onto a project card at once; in Gantt, teams are assigned in the work list (the Osoby / týmy (People / teams) column).
When the team composition changes
After you save a change of members, the composition is automatically reflected in all of the team's events from today onward: new members are added, removed ones disappear. Past events remain unchanged, so you can see who actually worked at the time. Events where this is not possible (a trip with more than 2 people, an event where nobody would remain) are skipped and the app reports them - edit them manually.
When you delete a team, its people do not disappear from the planned events; they simply stay in them as manually assigned.
Crew leader
Předák schvaluje výkazy členů - new work reports of team members go to the crew leader for approval instead of the site manager, and the crew leader can see them. The following order applies:
- the personal approver setting on the user's card takes precedence,
- then the crew leader (only with the switch turned on; the crew leader's own reports are still approved by the site manager),
- otherwise the site manager of the project.
The change applies only to newly saved reports; reports already waiting stay with the person they were assigned to. More in Work reports.
Předák vidí report členů týmu - in the work reports report, the crew leader sees the hours worked, labor cost and payslips of all members of their team, even if they do not approve their reports. It has no effect on the list of work reports or on approval.
Instead of picking five people for every event, you pick one team. When someone leaves the crew or joins it, just edit the team and the plan for the following days sorts itself out.
